OVERNIGHT FLIGHT DELAY GUIDE

Flight delayed overnight: hotel and meal reimbursement guide

An overnight delay creates two different questions: who must look after you now, and whether you can later receive fixed compensation. Hotel, meals and airport transport are care expenses; they are not the same as compensation for lost time. Keeping those claims separate makes the request clearer and harder to reject.

The short answer

Ask the operating airline for accommodation, airport–hotel transport and reasonable meals before paying yourself. If help is unavailable, record the refusal, choose necessary and proportionate options, and keep itemised receipts. EU and UK rules can require care even when extraordinary circumstances remove fixed compensation. In the United States, Canada and Australia, the cause, airline policy and local rules matter more.

Separate the four possible remedies

Care while waiting

Meals, communication, hotel and ground transport can be due during a qualifying wait.

Expense reimbursement

If the airline failed to provide care, documented reasonable costs may be claimed back where the applicable rules support it.

Fixed compensation

A separate payment for arrival delay may apply in some markets. Weather or other extraordinary events can defeat compensation without always removing care.

Ticket refund or rebooking

Long delays or cancellations may create a choice between continuing the journey, rerouting or not travelling. Choosing a refund can affect later care.

What changes by market

Check the rules that cover the actual itinerary and operating airline; citizenship alone does not decide coverage.

European Union

For covered flights, long departure delays trigger meals and communication after thresholds based on distance. If departure moves to the next day, the airline must offer hotel accommodation and transport between airport and accommodation.

United Kingdom

UK261 requires food, drink, communication and overnight accommodation on covered flights. The CAA says care applies regardless of the reason for the delay. If the airline cannot help, keep receipts for reasonable costs.

United States

Federal rules do not create one automatic hotel right for every delay. The DOT dashboard records voluntary airline commitments for controllable disruptions; check the operating carrier’s current policy before booking.

Canada

For disruptions within the airline’s control, including safety-related reasons, assistance can apply after the published conditions are met. An overnight wait for the new flight requires free hotel or comparable accommodation and transport.

Australia

There is no single fixed hotel rule equivalent to EU261. Consumer guarantees and airline policies apply according to the circumstances, including whether replacement travel was provided within a reasonable time.

Evidence to save before leaving the airport

  • Booking and boarding pass
  • Operating airline and flight number
  • Original and new departure times
  • Delay notifications and stated cause
  • Screenshot of the airline app or departure board
  • Request for hotel or meals
  • Written refusal or unavailable-voucher message
  • Itemised hotel, meal and transport receipts
  • Proof of payment
  • Messages and complaint reference

How to make the expense claim

1. Ask first

Use the desk, app, chat or telephone and request the specific care needed. Save the response and time.

2. Spend proportionately

If no care is provided, book a safe, practical hotel and reasonable meals and transport. Avoid luxury or unrelated purchases.

3. Build one timeline

Show scheduled departure, each update, the overnight wait, help requested and every expense.

4. Claim exact amounts

List each receipt, currency and total. Ask for care expenses separately from any fixed-delay compensation.

5. Escalate with evidence

If refused or ignored, use the airline complaint process and the authority, ADR body, insurance or payment route applicable to the itinerary.

Overnight delay FAQ

Does the airline have to book the hotel itself?

Where a right to care applies, ask the airline first. If it fails to arrange care, reasonable documented self-booked expenses may be recoverable; the facts and local rules decide.

Can I book any hotel?

Choose a safe and reasonable option for the location and notice available. A luxury room, minibar or unrelated extras are easier to reject.

What if bad weather caused the delay?

In the EU and UK, extraordinary circumstances can remove fixed compensation while care can still remain due. Other markets may tie hotel support to airline control or policy.

Can I claim meals without receipts?

A receipt is the strongest evidence. If none was issued, keep the card record and a contemporaneous note, but reimbursement is less certain.

Does VEYDOIT book or pay for the hotel?

No. VEYDOIT structures your timeline, evidence and request. The airline, insurer, authority or court decides reimbursement.
